Preamble
This document defines the terms of use for the Colecia service.
By accessing the service, the User acknowledges having read, understood and accepted these Terms of Service in their entirety.
Article 1 – Purpose of the service
1.1. Definition
Colecia is an automated assistance tool enabling document analysis and synthesis generation through the coordination of specialized AI agents.
1.2. Best-efforts obligation
The service is provided under a best-efforts obligation. It does not constitute legal, medical, financial or strategic advice, a consulting service, or a guarantee of result.
1.3. User responsibility
Generated content is an aid to reflection subject to errors or inaccuracies. The User retains full responsibility for decisions made based on this content and undertakes to verify critical information.
Article 2 – AI Act compliance
2.1. System classification
In accordance with the European Artificial Intelligence Regulation, Colecia is classified as a low-risk AI system, subject to compliance with these terms.
2.2. Prohibited uses
It is strictly prohibited to use Colecia for the following purposes:
- Automated recruitment or candidate selection without significant human intervention;
- Creditworthiness assessment, credit granting or insurance underwriting;
- Medical diagnosis, health data analysis or therapeutic monitoring;
- Judicial or administrative decisions affecting fundamental rights;
- Biometric recognition for surveillance purposes.
Any breach results in immediate suspension of access without notice or refund, and potential reporting to competent authorities.
2.3. Transparency
The User is informed that they are interacting with an artificial intelligence system. This notice appears in the interface and accompanies each generated response.
Article 3 – Intellectual property
3.1. Protection
The architecture, algorithms, system prompts, brand and logo of Colecia are the exclusive property of COLECIA SAS, protected by intellectual property law.
Any attempt at reverse engineering, decompilation, model extraction or reproduction by imitation is strictly prohibited. The name "Colecia" may not be used without prior written consent.
3.2. Output license
COLECIA SAS grants the User a non-exclusive license on generated content, limited to internal use or integration into their own products or services.
Direct resale of outputs as a standalone product is prohibited without prior written consent. The User retains full ownership of their input data.
Article 4 – Data
4.1. Processing and confidentiality
Data submitted by the User is processed exclusively to provide the service. It is not used for training, fine-tuning or improving models and is deleted at the end of the session.
4.2. Technical logs
Technical logs (session identifiers, timestamps, activated agents) are retained for 6 months on infrastructure hosted within the European Union, for traceability purposes in accordance with the AI Act.
Article 5 – Liability limitation
COLECIA SAS's liability is strictly limited to direct, material and proven damages resulting from total service unavailability.
The following are expressly excluded:
- Immaterial damages (data loss, loss of clientele, lost profits);
- Consequences of using generated content, including in case of error or inaccuracy.
Total compensation shall not exceed amounts paid by the User during the three (3) months preceding the occurrence of the damage.
Article 6 – Pricing and billing
6.1. Subscription plans
Access to the service is offered under four monthly subscription plans, each including a volume of credits.
Current pricing:
- Free: €0 — 50 credits included
- Essential: €49.99 excl. VAT/month — 1,000 credits/month
- Professional: €139.99 excl. VAT/month — 3,000 credits/month
A Business plan is available on request for large teams. Current prices are displayed on the website's pricing page.
6.2. Payment
Payment is made monthly by credit card. Any unpaid amount results in automatic access suspension.
6.3. Credit validity
Credits included in a monthly subscription are valid until the end of the current billing period. Unused credits do not roll over.
6.4. Downtime
In case of total technical unavailability exceeding 4 consecutive hours, COLECIA SAS may grant a credit or subscription extension at its discretion.
6.5. Cancellation and refund
Subscriptions may be cancelled at any time, taking effect at the end of the current monthly period.
Exceptions entitling a pro-rata refund:
- Proven billing error;
- Major technical malfunction (exceeding 72 hours) preventing all access to the service.
Article 7 – Personal data protection (GDPR)
7.1. Data controller

7.2. Data collected
- User identifier (email or login);
- Activity logs (IP address, timestamps, session identifier);
- Usage metadata (session duration, usage frequency).
7.3. Purposes and legal bases
- Service provision → contract performance;
- Security and maintenance → legitimate interest;
- AI Act traceability → legal obligation.
7.4. Retention period
- Identification data: account duration + 1 year after deletion;
- Technical logs: 6 months;
- Billing data: 10 years (tax obligations).
7.5. Data subject rights
The User has the rights of access, rectification, erasure, restriction of processing, portability and objection.
These rights may be exercised at any time by writing to: [email protected]. Any request will be processed within one month.
7.6. Subprocessors and transfers
Data is hosted by GDPR-compliant providers within the European Union. Calls to LLM APIs may involve transfers to third countries, governed by Standard Contractual Clauses (SCCs) and encryption measures.

Article 8 – Cookies and trackers
8.1. Usage
The service may use:
- Strictly necessary cookies (authentication, session management);
- Audience measurement cookies (only after consent).
8.2. Consent
Non-essential trackers are only placed after the User's prior consent, collected via a banner compliant with CNIL recommendations. The User may withdraw consent at any time via the cookie manager.
Article 9 – Duration, termination and modifications
9.1. Duration and termination
These Terms of Service take effect on February 28, 2026 for an indefinite period.
- The User may terminate their account at any time via the interface;
- COLECIA SAS may terminate access without notice in case of proven violation of these Terms, particularly prohibited uses (Article 2.2) or intellectual property infringement.
9.2. Modifications
COLECIA SAS reserves the right to modify these Terms. Any substantial modification will be notified by email at least 15 calendar days before its effective date. Continued use of the service constitutes acceptance of the new terms.
Article 10 – Final provisions
These Terms are governed by French law. Any dispute falls under the exclusive jurisdiction of the Paris courts for business users; consumer users may, at their discretion, bring proceedings before the courts of their place of residence.
Force majeure events include: third-party cloud infrastructure outages, LLM API interruptions, cyber attacks, government decisions. In such cases, COLECIA SAS is released from all liability. The User may not assign their rights without prior written consent from COLECIA SAS.
If one or more provisions are deemed null or unenforceable, they shall be deemed unwritten and the remaining provisions shall remain in force.
